Job Description
RESPONSIBLE TO: Headteacher, School Business Manager and Head of Business and Operations Executive for the Trust
Main Purpose of the Job
Under the direction of the Headteacher, the Business Manager and Head of Business and Operations to oversee all administration relating to HR, finance and other matters within the management of the schools which are supportive to, but do not involve, the teaching function.
Main Functions
Finance Administration
The ordering, processing and payment for all goods and services provided to the school including the school debit card and petty cash
Accurately recording, counting and banking of monies collected
Prepare, record and monitor various inventories throughout school.
Human Resources Management
To oversee human resources matters in line with DSAT guidance e.g. ensuring required pre-employment checks are carried out for new employees, reporting to and liaising with payroll about salaries, expenses, sickness and maternity claims etc
To oversee and maintain confidential staff records, and to ensure that staff records held in the school by others are kept confidential.
To maintain the appropriate information system for the school’s Single Central Record.
To comply with and assist with the development and sharing of policies and procedures relating to child protection, health, safety and security, confidentiality and data protection, reporting all concerns to an appropriate person
Whole School Administration
To manage the general administration of school systems including; Office 365, Arbor, ClassDojo, parent communication system, Newsletter.
Maintaining the records of the school pupils, including the updating of pupil premium records, free school meals, SEN.
Preparation and submission of the school census, workforce census and CTF files.
To act as correspondent for the DFE and to be responsible for the records and returns required.
To attend relevant training and meetings where appropriate as directed by the Headteacher.
Analyse and evaluate data/information and produce reports/information/data as required
To prepare relevant paperwork for the Headteacher.
To be the first point of call for parents and other visitors and parties, managing the front entrance, phone calls, emails to school.
To manage all admission arrangements as required.
Update and maintain the school website.
Responsible for the control of medicines in school and the administration of medicines to pupils in line with the school’s policy
Receiving deliveries and distributing throughout school as appropriate
This job description sets out the duties of the post at the time it was drawn up. The post holder may be required from time to time to undertake other duties within the school as may be reasonably expected, without changing the general character of the duties or the level of responsibility entailed.
