Administration Assistant job summary
You will be working on our school reception desk, answering telephone calls and being the first point of call to greet visitors and respond to general enquiries. The role also involves a variety of clerical tasks and the successful candidate is expected to work effectively to manage all aspects of the school office environment.
They key attribute for this role is that this person is a team player and able to prioritise and multi-task. The post holder will therefore need to be flexible and willing to go above and beyond in order to put the children at the centre of decision making and to ensure that they get the best education possible.
Administrative Duties
- Where the school has secure gates, monitor and control visitors
- Telephone/reception acting as first point of contact for the school
- Collating, printing and copying as required
- Filing
- Maintaining school calendar
- Maintaining school website
- Assisting with the production of school publications.
- Updating prospectus by obtaining information and co-ordinating the update
- Using appropriate IT software packages for the production of school publications and documentation
- Be accountable for controlled stationery
- Ensure that an effective reprographics service is developed and maintained including supplies e.g. paper
- Maintenance of reprographics equipment
- Report Faults to office and contact contractors
- Maintaining and monitoring ParentPay & Arbor
- FSM maintain data base and dinner registers
- Prepare correspondence, collect fees and chase non payments
- Maintain and audit uniform stocks, sell items and account for cash
- Monitoring After school club, breakfast club and holiday club bookings
- Administer fund raising efforts
- Prepare orders for supplies through approved suppliers and for submission to line manager for authorisation and identification of budget code
- Receiving deliveries, inputting receipt notes and distributing goods to appropriate staff
- Maintain a stock book
- Correspondence absences/telephone calls, informing ESS and maintain attendance registers
- Liaise with school health service, external agencies and parents including Emergency Services, Education Social Work, Speech Therapy and other services coming in to school.
- Oversee appointments - doctor, dentist, immunizations, photographers
- Dispatch appointments - collate responses
- Update schemes of work
- Produce class lists, usually in response to teacher enquiries, of e.g. medication information, contact numbers, addresses and ensure consent forms are returned
- Data entry and production of basic reports
- Collecting assessment data from teachers and inputting this
All staff in school will be expected to accept reasonable flexibility in working arrangements and the allocation of duties including duties normally allocated to posts at a lower responsibility level, in pursuance of raising pupil achievement and effective team working
Financial Duties
- Administer book club/uniform shop/ trips & other payment items including receipt and handover of small amounts of cash
- Close orders at the end of financial year checking outstanding commitments
- Processing petty cash claims and banking under the supervision/direction of the line manager
- Recoup free school milk allowance for schools not serviced by Dudley Catering Services
- Obtaining quotes & carrying out basic liaison with contractors
- Maintain record of staff duty dinners and payment
Personnel Duties
- Assist with school attendance data
- Monitor absences and holiday leave for pupils
Support for the School
- Be aware of and comply with policies and procedures relating to child protection, health and safety, security, confidentiality, and data protection. Reporting all concerns to the appropriate person.
- Contribute to the overall ethos/work/aims of the school.
- Participate in training, other learning activities and performance development as required.
- Attend and participate in meetings as required.
- Any other duties commensurate with the duties/responsibilities/grade of the post
