Administration Assistant job summary
ADMINISTRATION ASSISTANT
Salary: Grade D
Hours: 37 hours per week, term time plus 5 days
Responsible to: Data & Information Manager
Job Purpose: To work as part of the administration team in supporting the Academy in attaining its aims and objectives, by providing an effective administration service and reception facility to all visitors and callers.
Main Objectives:
Ensure effective operation of the reception point for all visitors to the Academy, giving information and directions to assist adequately in the purpose of their visit and to record visitors onto and away from the campus in line with security procedures.
Providing assistance for staff and students with any enquiries made at the reception point by resolving or answering queries and giving advice where appropriate.
Operate the telephones system and effectively transfer calls, take messages and identify and deal with queries raised by callers on the telephone by liaising with other staff as necessary.
Contribute to the efficient operation of the general office by undertaking, as directed by the line manager, clerical and word processing duties, including sorting the post and preparing mail merge letters.
Operate systems for recording, storing, retrieving and analysing information of students.
Cover sick bay as and when required having received the appropriate training.
