The purpose of the role
As Administrative Assistant you will provide clerical and typing support at a school under the direction of the Office Manager. This includes typing letters and memoranda, answering routine enquiries from staff, parents and the general public, and performing switchboard and reception duties. You will be required to maintain files, updates and returns information both manually and electronically. You will prepare and answer routine correspondence and support the school team with the Educational, Health and Care Plan process.
You will assist with financial administration including the collecting, banking, balance and accounts of monies,including school dinner money. You will assist with processes, requisitions, invoices, orders and payments; this will include assisting with stock control and the maintenance of inventories. You will record details of routine financial transactions, and produce and issue regular performance reports when instructed to do so. You will maintain information on school management systems and submit data to local authority, government and other agencies. You will also assist with the compilation of attendance registers and the maintenance of student records and absence/attendance reports.
You will work to policies and procedures as stipulated in the schools handbook and legal requirements under the supervision of the Office Manager. Occasionally there may be a need to deal with routine problems, working within general defined guidelines and using judgement/discretion in dealing with non-routine matters for which there may not be a readily available precedent.
You will come into contact with students, parents, teachers, other members of the LA visiting the school, contractors, visitors from outside the LA both face to face and on the telephone, building up relationships with external contacts for various events which will be organised throughout the year.
Post holders will be expected to be flexible in undertaking the duties and responsibilities attached to their post and may be asked to perform other duties, which reasonably correspond to the general character of the post and are commensurate with its level of responsibility.
