Administrative Assistant job summary

Greet Primary School is seeking to appoint an experienced, organised and highly professional Administrative Assistant to work in our bustling school office and play a key role in the day-to-day life of our large primary school in Sparkhill, Birmingham.

This is an exciting opportunity for a skilled administrator with previous experience of working in a school office and strong knowledge of MIS Systems (BromCom), which is essential for this role. We are looking for someone who thrives in a busy environment, communicates confidently with parents and staff, and can administer office systems with efficiency, warmth and professionalism.

As our Administrative Assistant, you will work closely with our Office Manager and alongside a range of colleagues across the school and Create Partnership Trust, helping to ensure that our office operates smoothly and effectively in support of our pupils, families and staff. This is a highly visible, outward-facing role: you will often be the first point of contact for parents, visitors and external agencies, and will therefore play an important part in representing the school and creating a welcoming, positive experience for all.

The successful candidate will also take a key role in managing attendance, ensuring accurate systems, effective communication with families, and a proactive approach to supporting good pupil attendance.

Key Responsibilities:

Working as part of the office team as directed to include front of house and general administration.

Being flexible about personal duties and timetable in order to prioritise the needs of the school.

Ensuring the quality of administration support including use of word, excel, printing and maintaining accurate filing systems.

Ensuring that a welcoming and effective reception service is provided.

Play a supporting role in the promotion and administration of pupils’ attendance and understand broader expectations in relation to child safeguarding.

We are looking for someone who:

Has experience of working in a school office.

Has excellent working knowledge of BromCom or other MIS system.

Is organised, efficient and able to manage competing priorities in a busy environment.

Has excellent communication and interpersonal skills.

Can work effectively with parents, pupils, staff and external partners.

Understands the importance of attendance and can support systems to monitor and improve it.

Can work closely and collaboratively with colleagues across the school and the Trust.

Is professional, approachable and committed to providing a high-quality front-of-house service.
