Administrator and Student Supervisor job summary
Key Duties
(Responsibilities & Accountabilities)
To provide effective, comprehensive, and high quality administrative support across several teams to promote efficient delivery of the vision and aims of Redland Green School.
Key Job Outcomes
Reprographics
- Provide practical assistance to the Reprographics department in the preparation of materials that meet the requirements of the teaching staff and administrative functions by:
- operating reprographics machinery to produce material required for displays and/or teaching and learning.
- collating documents for the compilation of workbooks, teaching materials or any other material required for teaching and learning.
- recommending alternative layouts or designs
- Responsible for the storage of all equipment and materials, including:
- maintaining stocks at specified levels
- checking and recording inventory on a regular basis
- Assist in the provision of a safe and productive working environment through routine maintenance and minor repairs of equipment in accordance with manufacturer’s instructions, following the defined procedures for the disposal of used equipment, materials, and substances:
- liaising with the manufacturer’s engineer to optimise the running time of the reprographics machines.
- undertaking small repairs to reprographics machinery
- contacting manufacturers’ engineers for major repairs to reprographics machines
- Liaise with suppliers to obtain best value products and place orders by raising requisitions in the Finance system.
Student Supervision
- Following policies to maintain a safe environment for students and staff, assist in the supervision of students outside of lesson time and report behaviour observations as required in order to maintain the school’s standards of discipline and behaviour.
- Liaising with Wellbeing Leads, Heads of Year, SENDCO and the Safeguarding team as and when required to report safeguarding concerns, including attending supervision meetings.
Administration Support
- Provide admin support to the Lower School and Post 16 teams as directed by the Office Manager including, but not restricted to, preparing documentation, dealing with communications accurately and within the agreed timeline, and liaising with other departments when required.
- Contribute to the vision of business continuity and elimination of single point of failure by providing cover support to different administrative functions, including but not limited to, Main Reception and Post 16 Reception, as directed by the Office Manager
- Contribute to the overall ethos, vision and aims of the school, allowing colleagues and senior members of staff to achieve their own work objectives effectively and efficiently, by assisting them when necessary.
- Communicate with parents via phone, email and text messaging applications, including attendance, dealing with a range of Main School and Post 16 generic email accounts.
- Operate a computer to amend / update spreadsheets, databases and to produce documentation using a range of processing applications.
- Maintain, update, sort and retrieve a range of records / statistical data, including monitoring / ordering of stationery and office supplies if appropriate.
- Complete other duties to fully support the needs of the school, as required, including invigilation, event set up / break down, and any other ad-hoc admin task.

- Be aware of, and comply with, policies relating to Child Protection, Health & Safety, Data Protection, Equal Opportunities, and SEN Code of Practice, as well as staff procedures.
