What skills and experience we're looking for

We are looking for a part time Admissions Assistant to be part of our administration team at Harris Garrard Academy. You will assist in the management of the admissions applications area as well as providing administrative support to contribute to the smooth running of the academy.

This role will involve working 20 hours per week, 39 weeks per year (term time only).

We would like to hear from you if you have:

  • Qualifications to GCSE level or equivalent
  • Competency in the use of Microsoft Office packages
  • Proficiency in the use of computers and databases
  • Previous experience in an administrative or front office/reception role
  • Demonstrable customer service experience
  • Good level of interpersonal and communication skills, with a good standard of written and spoken English
  • Excellent organisational and time management skills
  • Commitment to delivering excellent level of professional customer service
  • Ability to remain calm and deal with challenging callers or visitors in an appropriate manner
  • High level of attention to detail and accuracy of work

Your responsibilities will include:

  • Managing pupil admissions in line with LA/Academy policy, including organising course discussions and referral interviews
  • Handling pupil transfers according to Academy/LA procedures
  • Maintaining and updating MIS (Bromcom) with all pupil records
  • Liaising daily with office staff to ensure accurate and timely data entry into MIS
  • Overseeing the full admissions process as the school's Admissions Officer, including mid-term admissions, leavers, waiting lists, and transitions to higher education
  • Arranging visits for prospective parents
  • Coordinating with ALG, class teachers and Key Stage leaders to support incoming pupils
  • Maintaining pupil record folders and files, requesting records from previous schools and arranging transfers when pupils leave
  • Obtaining pupil UPNs and ULNs
  • Keeping school admission packs updated and distributing them as needed
  • Ensuring admission packs are completed and filed correctly, and supporting parents with forms and follow-ups
  • Preparing pupil records and information for transfer to academies, secondary schools or universities
  • Archiving student files in line with GDPR guidance
