Exams Officer job summary

MAIN DUTIES AND RESPONSIBILITIES:

In liaison with the Senior Leadership Team (SLT) operate, manage, and coordinate whole academy Examinations. Working closely with the Data Officer and Exams and Data assistant.

Examinations

To be responsible for the smooth running and administration of all internal and public examinations and to liaise with teachers, students, parents and examination boards in respect of examination requirements, entries, results and communications, ensuring that the Academy adheres to all Awarding Bodies’ regulations.

Liaising with the Leadership Team, Curriculum Leaders and other relevant staff regarding examination entries, coursework, and assessment procedures and protocols, and ensuring the smooth running of the examination cycle at all key stages both internal and external exams.

Creating exams schedules for internal and external exams ensuring all relevant room bookings and liaison with relevant staff

Downloading all relevant base data (exam boards) into SIMs Exams Management system

Ensuring that all required information, including that for external candidates, is obtained and submitted accurately within set deadlines in relation to examination entries, changes, withdrawals, remark requests, and assessment data. Keep up to date with all JCQ rules and regulations and deadlines

Post results enquire processing and communicating this to departments, pupils and parents.

All aspects of the conduct of both public and internals examinations as per examination board requirements and school policies and procedures

Updating senior leadership with exams schedules, updating the academy website and other systems

The processing and issuing of examination results in line with examination board requirements and academy policies and procedures

The line management of all examination invigilators including their employment, induction, training, timesheets, rotas etc.

Liaising with the SEND team to organise access arrangements for all students who have special education needs for exams

Applying to JCQ for examination concessions for pupils when notified by the Assistant SENCo

To ensure that all policies relating to internal and external examinations are up to date, approved by Governors and available on the academy website

Keep up to date records and procedure for JCQ onsite inspection

To establish, in liaison with Assistant Head academic, contingency plans in case of emergencies including power cuts, adverse weather conditions, transport strikes

To ensure that data protection regulations are complied with and maintained

To oversee and manage the exams budget, keeping up to date records

Keep up to date with all exam requirements and changes

To work closely with the Data Officer

Other responsibilities

To line manage and coordinate the work of the Exams and Data assistant in conjunction with the Data Officer.

To work in close partnership with the Data Officer with reporting and analysis as required.

To prepare/collate data and information for the academy prospectus and other publications as required.

To attend relevant meetings and training sessions as required

To keep abreast of developments and changes in fields relevant to the role

To perform other reasonable duties as required by the Headteacher.

Our Academy is sponsored by the Christopher Nieper Education Trust (previously David Nieper Education Trust), together with local employer partners, who are highly committed in supporting the development and achievements of our students. With a clearly defined approach to teaching, applied learning and brand-new purpose-built facilities, which opened in February 2017, we believe that this is a truly exciting time to join the academy. We are a growing academy now of 780 students 11-18 and will soon be at our full capacity of 850 students 11-18. This role is a new post due to our growing pupil numbers. Our September 2022 Ofsted Inspection graded the academy as ‘Good in all areas’, a fantastic improvement from the ‘inadequate’ Ofsted rating when we took over the academy - and we endeavour to build on this as we grow and develop further. We are currently the only academy within the Trust however the Trust is likely to grow in the very near future with a number of other schools actively looking to join.
