This is an exciting and pivotal role within the central Team, supporting the Executive Team.

Purpose of the role

  • Support the Executive Team to ensure that they run effectively and efficiently.

This translates as the responsibility to:

Administrative Support:

  • Manage complex schedules, including meetings, events, and travel arrangements.
  • Prepare meeting agendas, reports, and presentations.
  • Handle correspondence, emails, and phone calls.
  • Maintain and organise files and documents, both physical and digital.
  • Assist with expense reports and budgeting.
  • Coordinate travel arrangements and accommodations.

Meeting Management:

  • Organise and facilitate meetings, including setting up rooms, preparing materials, and taking minutes.
  • Follow up on action items from meetings.
  • Ensure smooth and efficient meeting flow.

Communication & Liaison:

  • Serve as the primary point of contact for the leadership team, both internally and externally.
  • Coordinate communication between team members and other stakeholders.
  • Ensure timely and accurate information dissemination.

Project Support:

  • Assist with special projects and initiatives as needed.
  • Manage project timelines and track progress.
  • Provide data analysis and research support.

Funding and Grant Coordination

  • Assist in the preparation and management of funding proposals and applications.
  • Track and report on funding status and progress.
  • Coordinate with finance teams to ensure proper allocation and use of funds.
  • Maintain records of funding sources and expenditures.

Income Generation Support:

  • Support the development and implementation of a learning hub to generate income.
  • Assist in creating and managing educational programs and workshops.
  • Coordinate marketing efforts to promote the learning hub and attract participants.
  • Monitor and report on the financial performance of the learning hub.

Bid Support:

  • Assist in identifying and pursuing funding opportunities through bids.
  • Prepare and submit bid proposals, ensuring compliance with requirements.
  • Coordinate with relevant teams to gather necessary information for bids.
  • Track and report on the status of bids and follow up as needed.

Confidentiality:

  • Handle highly sensitive and confidential information with discretion and professionalism.
  • Maintain strict confidentiality of all information.

Other Duties:

  • Perform other administrative tasks as assigned.
  • Continuously identify areas for improvement and implement new systems and processes.
  • Provide excellent customer service to all stakeholders.

Person Specification

The Executive Support needs character and the key attributes we are looking for candidates are:

Essential Skills, Knowledge & Experience

  • 5 GCSEs (Grade 4/C or above), including English and Maths
  • Strong experience as a PA, or administrator
  • Excellent written and verbal communication skills
  • High-level organisational and multitasking abilities
  • Able to manage confidential information with discretion
  • Proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint)
  • Able to work independently and respond flexibly to changing priorities
  • Strong organisational and time management skills: Ability to prioritise tasks and meet deadlines.
  • Excellent communication and interpersonal skills: Ability to interact professionally with all levels of staff.
  • Strong attention to detail: Accuracy and thoroughness are essential.
  • Experience in a fast-paced, high-pressure environment: Ability to handle multiple tasks and prioritise effectively.

Desirable Qualifications & Experience

  • Business Administration Level 3 or equivalent qualification
  • Previous experience in a school, Multi-Academy Trust, or public sector organisation
  • Experience with project management tools and techniques.
  • Bid writing experience
