What skills and experience we're looking for

Key Responsibilities

1. Personal Assistant to the Headteacher

  • Provide professional, efficient, and confidential administrative support to the Headteacher.
  • Manage the Headteacher’s diary, scheduling meetings, school events and appointments.
  • Prepare and handle sensitive documents, correspondence, communications and reports with discretion and confidentiality on behalf of the Headteacher.
  • Act as the first point of contact for the Headteacher – filtering calls, emails, post, and visitors.
  • Act as liaison between the Headteacher and staff, governors, parents, and external stakeholders.
  • Support with the preparation of presentations, newsletters, and reports for the Headteacher and the SLT.

2. Office Management

  • Lead, organise and supervise the day-to-day operation of the school office, ensuring a welcoming, efficient, and organised environment ensuring it functions as a welcoming and effective hub.
  • Line manage administrative staff and delegate tasks effectively.
  • Ensure all administrative systems are up-to-date and compliant with school and statutory requirements.
  • Maintain accurate school records, including pupil and staff data, using SIMS and EPM or equivalent systems.
  • Oversee the organisation of school events, parents’ evenings, and meetings.
  • Manage incoming/outgoing communications, including emails, post, and telephone calls.
  • Ensure the Single Central Record (SCR) is kept up to date and compliant with statutory requirements.

3. Compliance and Record Keeping

  • Ensure all safeguarding and health & safety procedures are followed in the office and wider school.
  • Support the Headteacher with compliance tasks related to Ofsted, DfE, and the Local Authority.
  • Coordinate Governor documentation as required.
  • Ensure all administrative functions comply with statutory safeguarding and data protection (GDPR) requirements.
  • Manage and maintain accurate records using school systems such as SIMS, Arbor, CPOMS (or equivalent).
  • Support the Headteacher and SLT in the preparation of documentation and evidence for Ofsted and Section 48 Inspections.

4. Communications and Stakeholder Engagement

  • Serve as a professional and courteous point of contact for parents, visitors, and the wider community.
  • Manage internal and external communications, including the school newsletter and website updates.
  • Support the school’s ethos and promote a positive image of St. Joseph’s in all dealings with stakeholders.

General Responsibilities

  • Demonstrate a commitment to the Catholic ethos and values of the school in all duties and interactions.
  • Build and maintain positive relationships with pupils, parents, staff, and governors.
  • Attend training and meetings relevant to the role and participate in professional development activities.
  • Be flexible and proactive in supporting the wider needs of the school.
