Personal Assistant / Administrator job summary

About the role

As Personal Assistant / Administrator you will provide high-quality administrative and PA support to the Deputy Chief Executive Officer (DCEO) and the MAT executive team. Your core responsibilities will include:

  • Managing complex, changing diaries and acting as an effective gatekeeper for the DCEO and executive team
  • Screening and triaging email and post, drafting responses and highlighting urgent matters
  • Clerking and taking accurate minutes for governance, business and HR meetings, ensuring clear actions and timely distribution
  • Preparing briefings, presentations and professional documents; summarising national updates (DfE etc.) as required
  • Coordinating travel, meetings (including virtual setups), event logistics and Central Team communications
  • Maintaining records, handling routine finance tasks (purchase orders, reimbursements) and supporting FOI/SAR processes where needed
  • Being a professional, welcoming point of contact for visitors and safeguarding-sensitive interactions with care and discretion

This role is central to the smooth running of executive functions and supports strategic priorities across our Trust. The post will involve some travel to our schools and occasional attendance at events that celebrate Trust life.

About you

We are looking for someone who embodies our values and can thrive in a busy, supportive central team. You will have:

  • Proven administrative and secretarial skills, including high-quality word processing and document presentation
  • Experience of using Microsoft Office (Word, Excel, Teams) and managing email and electronic filing
  • Strong minute-taking skills and the ability to produce accurate, succinct records with clear actions
  • Excellent verbal and written communication, with a professional and courteous manner when dealing with staff, parents, governors and external partners
  • Ability to manage competing priorities, use initiative within recognised procedures, and work both independently and as part of a team
  • Awareness of GDPR and a commitment to maintaining confidentiality and safeguarding at all times
  • Relevant qualifications such as GCSEs in English and Maths (or equivalent) and/or NVQ Level 2 in Business Administration (or willingness to work towards)
