School Receptionist & Administrator job summary

We are looking for an exceptional Receptionist & Administrator to become a key member of our team. This is far more than a traditional reception role. As the first person visitors, families, professionals and students meet or speak to, you will help create the warm, welcoming and professional environment that underpins everything we do. Working at the heart of the school, you will provide the vital administrative and organisational support that allows our superb staff team focus on what they do best: helping our students achieve meaningful independence.

Working Pattern

Monday to Wednesday, 8:00am to 4:00pm, Term Time Only

The Role

No two days are the same. One moment you may be welcoming parents and visitors, the next supporting attendance processes, managing school communications, assisting with student records or helping coordinate the smooth running of the school day.

You will be responsible for managing our busy reception area, ensuring all visitors are welcomed professionally and that safeguarding procedures are followed at all times. Operating the school's telephone and communication systems, you will act as a central point of contact and ensure enquiries are dealt with efficiently and courteously.

Alongside reception duties, you will provide wide-ranging administrative support across the school. From maintaining records and managing diaries to processing payments and supporting attendance administration, your work will help ensure that students, staff and families receive an outstanding level of service.

Most importantly, you'll become part of a passionate team that believes every young person deserves the opportunity to achieve their full potential.

About You

We are looking for someone who combines excellent administrative skills with genuine warmth and professionalism.

You will be naturally organised, highly reliable and able to juggle competing priorities with confidence. You will enjoy interacting with a wide range of people and take pride in delivering exceptional customer service, whether face-to-face, on the telephone or via email.

You will be comfortable handling confidential information with discretion and integrity, have strong IT skills and possess the ability to remain calm and positive in a busy school environment.

Previous experience in a reception, administrative or customer-facing role is essential, and experience working within an educational setting would be advantageous. Knowledge of safeguarding, visitor management systems and school information systems such as iSAMS or CPOMS would be beneficial, although training will be provided.

  • GCSE Grade 5/C (or equivalent) in English and Maths.
  • Experience working in a reception, administration or customer service environment.
  • Outstanding communication and interpersonal skills.
  • Strong organisational and time-management abilities.
  • Confidence using Microsoft Office applications, including Word, Excel and Outlook.
  • A proactive, flexible and positive approach.
  • A commitment to maintaining high standards of confidentiality, safeguarding and professionalism.

We are proud to share with you the excellent work we do with children and young people who have physical disabilities and complex medical needs. It is also developing high quality outreach support services to local schools and more widely for children and young people in Kent who have physical disabilities who are attending mainstream schools.
