Weekend Lettings Premises Officer job summary

Lettings & Premises Officer (One Saturday and two Sundays every 4 weeks)

Typical Saturday hours: 07:45am to 16:15pm

Typical Sunday hours: 09:00am to 17:00pm but can vary week to week

With opportunities to undertake overtime when available

The Academy offers a wide range of facilities including:

200 Seat theatre and bar – Suitable for hosting dance, music and other events

Sports hall - 4 badminton court, multi-sports, multi-activity 

Floodlit Sports Courts - suitable for football, netball, hockey, tennis 

Activity Studio – Typically used as a dance studio; with mirrors

Gymnasium – Suitable for fitness classes and sessions for youngsters

Playing Fields – 6 grass pitches to suit different age groups

Meeting room / classrooms / lounge - various sizes, tables and chairs, dividable, interactive whiteboards, refreshments 

You will be responsible for providing a secure, clean, and welcoming environment for community groups, sports clubs, and private hirers. You are the primary point of contact on-site, responsible for the physical security of the buildings, the health and safety of the occupants, and ensuring that all facilities are prepared to the high standard required for both the weekend hirers and the students returning on Monday morning.

The successful candidate will be customer focused, able to work off their own initiative and confident in his/her ability to manage community use of a school site. You will be someone who believes they can make a positive difference to the lives of the local community, facilitating participation in different activities across the range of facilities on-site, serving customer needs as appropriate.

Job Profile  

Job Title: Lettings & Premises Officer (One Saturday and two Sundays every 4 weeks) 

Grade and Salary: Grade 8 (points 15 to 18) 

Hours/Weeks: Saturday 8 hours and Sunday 8 hours/up to 50 weeks per year with opportunities to undertake overtime when available

Job Purpose 

To provide a secure, clean, and welcoming environment for community groups, sports clubs, and private hirers during weekend shifts. You are the primary point of contact on-site, responsible for the physical security of the buildings, the health and safety of the occupants, and ensuring that all facilities are prepared to the high standard required for both the weekend hirers and the students returning on Monday morning. 

The activities and responsibilities listed below are examples of the type of tasks that are expected of the post holder. These may vary over a period of time and are not exhaustive. 

Key Responsibilities 

Site Security & Access Control 

● Opening & Closing: Managing the unlocking and alarming of specific zones required for bookings. 

● Punctuality: Ensuring that the site is ready to welcome hirers 15minutes before the start of the booking. 

● Vigilance: Monitoring the site to prevent unauthorised access or vandalism. 

● Key Holding: Taking responsibility for the integrity of the school’s security systems during "out of hours" periods. 

2. Health, Safety & Compliance 

● Risk Management: Ensuring hirers adhere to their rental agreements and health and safety policies (e.g., fire safety, capacity limits). 

● Emergency Response: Acting as the designated Fire Warden and First Aid contact during the shift. 

● Inspections: Conducting "pre-and-post" hire checks to identify and report any damage or maintenance issues. 

● Procedures: Following the escalation policy in the event of an on-site emergency including evacuation, invacuation and lockdown procedures. 

● Decision making: taking responsibility for cancelling sessions in the case of bad weather or other unforeseen circumstances using the hirer contact information found on SchoolHire. 

3. Customer Service & Lettings Support 

● Front of House: Welcoming hirers, directing them to their locations, and assisting with equipment setup (e.g., sports nets, AV equipment). Serving customers to facilitate purchases e.g. swim badges, swim goggles, refreshments; hire of equipment or dealing with enquiries.

● Liaison: Acting as the face of LiFE Multi-Academy Trust, ensuring that community users feel supported and valued. 

● Communication: Providing excellent communication and customer service with all user groups and assisting them in ensuring they have the best experience. 

● Administration: Engaging with Schoolhire booking system to check the day’s bookings at the start of the shift, accepting on the day bookings as appropriate, adhering to the information provided by the Lettings team. 

● Collaboration: Liaising closely with both premises and letting teams to ensure clarity of information regarding each booking. 

4. Facilities Maintenance 

● Cleanliness: Performing "spot cleaning" between bookings and ensuring changing rooms and toilets remain hygienic. 

● Turnaround: Ensuring the site is "reset" on Sunday evening so that the school is fully operational for students and staff on Monday morning. 

● General: Light decorating, maintenance and repairs as advised, stock maintenance.

● Pools: Carrying out pool plant responsibilities (training will be provided). Must be able to swim. 

● Repairs: Carrying out emergency security repairs where possible or contact the appropriate contractor. 

● Risk assessment: Complete relevant risk assessment and COSHH and contractor management paperwork as required. 

● Keys: Maintain duplicate sets of keys for all rooms and equipment. 

5. Training 

● Training: Undertaking appropriate training and development for your role including refresher training led by both the Lettings and the site facilities managers at each school. 

● GDPR: Being familiar with the demands of the Data Protection Act and GDPR regulations. 

● Duties: Performing additional duties related to the role as required
