Hub Operations Lead (Letchworth based) job summary
Job title: Hub Operations Lead
Liaising with: Trust Finance Team (CFO, Head of Finance), Headteachers, Director of Primary Hub, Executive Director of Primary
Responsible to: Director of Primary Hub
Hours of work: Full time 37 hours per week all year round. In addition, you will be expected to flex to attend certain governors meeting out of school hours during the year.
Location: Working base at St Thomas More School, (Letchworth, SG6 3QB). The post holder is expected to work flexibly across the hub schools as needed.
Pay range: £40-£45K
Contract terms: Permanent
Purpose
As the Hub Operations lead, you will play a pivotal role in ensuring the smooth and efficient daily operations of the schools within the hub, by implementing operational best practices and managing resources effectively, in line with the Trust’s purpose, values and mission.
You will play a pivotal role in supporting Hub Headteachers and contribute significantly to the wider team working closely with the Hub Finance Lead and Director of Primary Hub.
As a visiting member of the Senior Leadership Teams within the hub schools you will be required to make a significant contribution to the overall organisation, management and performance of the schools.
Your time allocation across the hub schools will be agreed and reviewed regularly to ensure maximum effectiveness, alongside your contribution to the Trust in Trust-wide leadership roles. You will collaborate closely with the DoWAT central team and other Trust staff as necessary.
Line Management: You will be line managed by the Director of Primary Hub and expected to work closely with the Hub Finance Lead on a day-to-day basis.
Key responsibilities
Operational Oversight
1. Plan, develop, organise and monitor support systems and procedures across the hub of schools in accordance with the Trust policies.
2. Ensure that all services, structures and systems within the Hub meet current legislation and Trust policies and Diocesan requirements e.g. Statlog, Arbor, Governorhub.
3. Be responsible for the updating of School websites.
4. Ensure the Trust’s services, systems and structures work effectively and efficiently within the hub e.g. Health and Safety.
5. Address operational challenges and streamline processes.
6. Contribute to strategic planning and develop and implement operational action plans e.g. Business Continuity Plans.
Operational Cohesion
7. Promote effective communication and collaboration between the administration teams within the hub schools. Support Headteachers with the oversight of those teams.
8. Coordinate the implementation of the IT and marketing strategies and initiatives for the Trust and hub schools.
9. Coordinate absence for cover when required
10. Provide oversight of the wraparound care arrangements at each site
11. Support the Headteacher in the performance appraisal of the school caretaker
12. Support the Headteacher in the performance appraisal of the Admin teams
13. Provide oversight of the arrangements with external contractors for each site e.g. grounds maintenance, school catering, cleaning arrangements
14. Support schools with recruitment matters
15. Provide oversight of the lettings arrangements at each school site
Financial Management
16. Support the Hub Finance lead and Headteachers in the delivery of best value for money
17. Ensure that systems are set up for the smooth running of financial management as appropriate. Work with the Hub Finance Lead to review payroll submission.
18. Support the Finance lead with monitoring contracts, tenders and agreements for the provision of services and explore cost-saving initiatives.
Human Resources
19. Oversee and supervise the maintenance of all employee contracts, monthly payroll submission, coordination of all recruitment, DBS and medical checks, Single Central Records, annual salary statements and maintenance of the personnel database and confidential files.
20. Act as the first point of contact and responder for all human resources issues arising within the hub schools.
21. Aid the development and delivery of consistent policies and procedures across the school or Trust relating to child protection, health and safety, security, confidentiality, and data protection working closely with specialist staff.
General
22. Undertake any training commensurate with the post.
23. Participate in the Trust performance management system, taking personal responsibility for identification of learning, development and training opportunities in discussion with line manager and attend inset days.
24. Comply with individual responsibilities, in accordance with the role, for health and safety in the workplace and to take appropriate action to identify, evaluate and minimise any risks to health and safety and security in the immediate working environment.
25. Work in accordance with the values, culture and ethos, equalities and inclusion policies of the Trust.

Job Context
The school has a team of administrative staff who provide the full range of reception and administrative functions.
The central Hub team will consist of the Director of Primary Hub, Hub Finance Lead and Hub Operations Lead. You will be expected to work closely with the Executive Team also including the CFO and Executive Director of Primary.
Knowledge, Skills & Abilities
Significant experience in administrative roles.
Working at or towards national occupational standards (NOS) in business and administration. Working at Tier 4 of the ISBL professional standards.
Knowledge for developing and management of relevant administrative/ financial procedures, including use of relevant ICT packages and systems, and knowledge of administration policies and procedures, acquired through experience over a period of time and across a range of activities equivalent to national qualifications level 4.
Supervision
Manages external administrative support services for the Hub.
Provides support for Headteachers with the day-to-day management of the school admin teams and the caretaking/site management teams.
Dimensions
Advisory responsibilities in relations to administrative services including planning, developing and maintaining the support systems and procedures.
Develops and maintains recording and information systems.
Physical Effort
Requires normal physical effort, with a mixture of sitting, walking and carrying minor loads.
Working Environment
Work is normally carried out in an office environment
Work across school sites is necessary
Problems, Demands & Decisions
Negotiates, advises, leads on behalf of school in external matters such as contracts, procurement, funding bids; regularly deals with a range of complex whole school finance and HR issues.
Develops and implements school policies and procedures; developed analytical, judgmental or creative skills required to interpret very varied and complex information or situations over the long term, including whole school budget preparation and planning, support service monitoring.
Physical Effort
Requires normal physical effort, with a mixture of sitting, walking, and carrying minor loads.
Travel between hub schools and schools within the Trust.
Working Environment
Work normally carried out in an office environment and across the hub schools.
