Office Manager job summary
This is a varied and rewarding role at the heart of our school community, ensuring that administrative services run efficiently and professionally while providing an excellent service to pupils, parents, colleagues and visitors. You will lead and support the administration team, oversee workloads and priorities, and ensure that key processes are completed accurately and within required timescales.
Working closely with the Headteacher and Senior Leadership Team, you will oversee a broad range of administrative responsibilities, including school admissions, recruitment and HR administration, safeguarding and compliance, pupil health information, school communications and the coordination of events and activities. You will also provide high-quality administrative and organisational support to senior leaders, including diary management, meeting arrangements and correspondence.
You will play an important role in maintaining the school’s Single Central Register, supporting safer recruitment processes and promoting good data protection practice. As a key point of contact for the school, you will handle enquiries professionally, exercise sound judgement when dealing with sensitive matters and ensure that confidential information is managed appropriately.
We are looking for someone who takes ownership of their work, enjoys supporting others and is always looking for ways to improve systems and processes. This is an opportunity to make a real contribution to the smooth running of the school and the experience of our wider school community.
About you
You will be an experienced administrator with a strong track record of working in a busy environment, managing competing priorities and maintaining high standards of accuracy and professionalism. You will be confident leading and supporting a team, creating a positive working environment and ensuring that work is allocated effectively and completed to a high standard.
You will be highly organised, adaptable and able to remain calm under pressure, particularly when responding to unexpected situations, frequent interruptions and changing deadlines. With excellent communication and interpersonal skills, you will build positive working relationships with colleagues, parents, pupils and external organisations, handling sensitive or challenging enquiries with tact and professionalism.
You will have strong IT skills, confidence in using digital systems and the ability to maintain accurate records, identify errors and improve administrative processes. You will also understand the importance of confidentiality, data protection, safeguarding and safer recruitment, exercising sound judgement and recognising when matters need to be escalated.
You will be proactive, reliable and solution-focused, taking accountability for your work while working collaboratively with others. Above all, you will be committed to safeguarding and promoting the welfare of children and young people, and to providing a welcoming, responsive and effective service to our school community.
Experience within a school or education setting would be advantageous, particularly in admissions, recruitment and HR administration, safeguarding compliance, maintaining a Single Central Register or supporting senior leaders. However, we are keen to hear from candidates with strong transferable administrative and team leadership experience who can bring the right skills and approach to the role.
A minimum of GCSE Grade C or equivalent in English and Maths is required. Relevant administrative, business or management qualifications, alongside appropriate professional training, would be beneficial.
