Office Manager job summary

Job Purpose

As the Office Manager, you will play a vital role in the efficient day-to-day administration of the school office, ensuring a welcoming, organised, and professional environment. This role supports the Headteacher, staff, pupils and parents by managing administrative systems and overseeing office procedures.

This is a permanent role with an anticipated start date of 1 September 2026, working 37 hours per week, term time only.

As Office Manager, your duties will include:

Office Management & Administration

  • Oversee the daily operations of the school office
  • Manage administrative systems, records, and procedures
  • Ensure compliance with school policies and data protection regulations
  • Maintain pupil records and attendance data accurately
  • Manage school supplies and office resources
  • Act as the first point of contact for parents, visitors, and external agencies
  • Handle correspondence, emails, and phone enquiries professionally
  • Support communication between staff, parents, and leadership

HR & Personnel Support

  • Assist with recruitment administration and onboarding processes
  • Maintain staff records and support absence monitoring
  • Liaise with payroll and HR providers where necessary
  • Support health and safety procedures and record-keeping
  • Ensure safeguarding and confidentiality policies are followed
  • Maintain accurate compliance documentation
  • Lead GDPR policy and procedures

  • Proven experience in office administration or management
  • Strong organisational and time-management skills
  • Excellent communication and interpersonal abilities
  • Proficiency in IT systems (e.g. Microsoft Office, school MIS systems)
  • Ability to manage multiple tasks and work under pressure
